This Privacy Policy explains how Dentstock Ltd (“Dentstock”, “we”, “us”) collects and uses personal data when dental practices and their team members use the Dentstock procurement platform. We are the data controller for that personal data.

Information we collect

  • Account & contact details — name, work email, role and the practice(s)/location(s) you belong to.
  • Ordering data — formulary selections, carts, orders, budgets and approvals created in the course of using the service.
  • Usage & device data — pages viewed, searches and basic device information, collected via analytics only after you consent (see our Cookie Policy).

How we use your data & lawful bases

  • To provide and administer the service — performance of a contract.
  • To secure, maintain and improve the platform — our legitimate interests.
  • For optional analytics — your consent, which you can withdraw at any time.
  • To meet accounting, tax and other duties — legal obligation.

Sharing & subprocessors

We share data only as needed to run the service — for example with payment processing (Stripe), hosting (AWS London (eu-west-2)), email delivery and product analytics — each under a data-processing agreement. We place orders with the suppliers you choose. We never sell your personal data.

International transfers & retention

Your data is hosted in the UK (AWS London (eu-west-2)). Where any processing occurs outside the UK, we rely on appropriate safeguards. We keep personal data only as long as needed for the purposes above and to meet legal obligations, after which it is deleted or anonymised.

Your rights

Under UK GDPR you may request access, rectification, erasure, restriction, portability, and object to certain processing. You can exercise these in-app or by contacting us. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk).

Security

We protect data with encryption in transit and at rest, access controls, and audit logging. No system is perfectly secure, but we work to safeguard your information and to notify you of any breach where required.

Changes & contact

We may update this policy; when we do we will revise the version above and, where appropriate, ask you to re-accept. Questions or requests: privacy@dentstock.co.uk.
